    Immediate Position Opening:

    Job Title: Operations Coordinator (Manufacturing)
    Department: Operations / Production
    Type: Full-time

    Role Summary:
    The Operations Coordinator keeps the factory running smoothly by coordinating production schedules, materials, purchasing follow-ups, inventory control support, and shipping/receiving. This role is the glue between production, engineering, warehouse, and sales—making sure work orders don’t stall because someone “didn’t see the email.”

    Key Responsibilities:
    Production Coordination

    • Create and maintain production schedules aligned with demand, capacity, and material availability.

    • Release and manage work orders (as applicable), ensuring priorities are clear on the floor.

    • Track progress daily and communicate changes, delays, and bottlenecks to stakeholders.

    • Coordinate with engineering on ECOs/changes, revisions, and updated work instructions.

    • Materials, Purchasing, and Supplier Follow-Up.

    • Generate and track purchase orders and supplier confirmations (pricing, lead times, delivery dates).

    • Expedite late parts and manage substitutions/alternates with engineering approval.

    • Maintain material status trackers (shortages, backorders, critical item).

    • Inventory & Receiving Support:

    • Coordinate receiving of materials, verify documentation, and ensure correct identification (part #, rev, lot/serial).

    • Support inventory accuracy: cycle counts, discrepancy investigations, and corrective actions.

    • Ensure stock is properly labelled and located (bin/location discipline).

    Shipping & Logistics:

    • Coordinate outbound shipments: scheduling pickups, preparing documentation (packing slips, BOL), and tracking.

    • Work with carriers/couriers and solve issues (damages, shortages, missed pickups).

    • Ensure shipments match requirements (customer PO, special packing, labeling, compliance docs).

    • Documentation & Process Control:

    • Maintain and improve SOPs, checklists, production trackers, and dispatch lists.

    • Support traceability requirements (lot/serial tracking, build records) where applicable.

    • Help implement continuous improvement changes (simple fixes that prevent repeated chaos).

    Communication & Reporting:

    • Provide daily/weekly updates on: production status, shortages, late POs, shipping priorities.

    • Act as the point person to coordinate across departments and close loops fast.

    Qualifications:

    - Required

    • 2+ years in a coordination role in manufacturing / production / logistics / supply chain.

    • Strong organizational skills and follow-through (you finish what you start).

    • Comfortable in Excel/Sheets; able to manage trackers and basic reporting.

    • Clear communicator with a professional tone (internally and with suppliers).

    - Preferred

    • Experience with ERP/MRP (NetSuite, SAP, Dynamics, Fishbowl, JobBOSS, etc.).

    • Familiarity with BOMs, work orders, part revisions, and basic quality documentation.

    • Shipping experience (LTL/courier/freight, BOLs, packing specs).

    • Calm under pressure; doesn’t melt when priorities change.

    • Proactive: flags shortages and delays before they become emergencies.

    • Discreet with sensitive information.

    KPIs (How success is measured):

    • On-time completion of production priorities.

    • Fewer line-stops due to material shortages.

    • Improved inventory accuracy / fewer discrepancies.

    • On-time shipping + reduced shipping errors.

    • Supplier follow-ups completed and documented.

    Requirements (Mandatory):

    • Must be a Canadian citizen.

    • Must hold a valid Ontario driver’s licence and maintain a clean driving record; must be able to provide a current driver’s abstract upon request.

    • Must be able to successfully pass a background check, and security screening if required.
